Microsoft SharePoint Integration Setup

Before you begin

You must have administrator level permissions within your Microsoft 365 tenant in order to set up the SharePoint integration. If you do not have adequate permissions, please add your Microsoft 365 tenant administrator to your GovDash team and have them complete the setup.

Setup

Connecting to SharePoint

You first must connect your SharePoint/Microsoft tenant to GovDash in order to begin using the integration.

  1. Open Settings in GovDash.

  2. Under Your Profile > Your Integrations, click Connect SharePoint.

  3. Click Add Tenant, and login to your Microsoft 365 tenant.

    GCC/GCC-High Tenants

    If you're connecting to a GCC/GCC-High Tenant, click Add New GCC-High Tenant

  4. GovDash will request permission to access your tenant and provide you with the permissions that it requires for the integration to function. Click Accept to agree to grant the permissions.

  5. This will complete the integration process, and the SharePoint integration button will change to Connected.

Signing In

Once you’ve got your tenant connected, you can now link your Microsoft account to GovDash to begin uploading your files. This process can be completed anywhere within GovDash that you can upload from SharePoint, but below is an example using the Data Library.

  1. Within the Data Library, click Upload Files.

  2. Select Add general company documents.

  3. Select Add from SharePoint.

  4. Select your tenant from the list, then select Add New Account.

  5. Sign in using your Microsoft account, and if sign in is successful, you should see a success alert within GovDash letting you know the account was linked.


Using SharePoint with GovDash

By using SharePoint in GovDash, you can upload files directly from your SharePoint folders and libraries in several areas that GovDash allows you to upload files, as well as export your GovDash generated proposals into SharePoint.

Adding SharePoint Files to GovDash

To add your SharePoint files to GovDash in these areas, click the Add from SharePoint button to access the SharePoint tenant list, select your tenant, select your Microsoft 365 account, and you will then be brought to your SharePoint site list.

Select the site where your desired files are located, navigate to the folder where the file is located, and click the icon next to the file to add it. If the field you're uploading files to supports multiple file uploads, you can attach as many files as you'd like by clicking the icon next to the file.

Once you've finished selecting your files, click the Confirm button, and then the Submit button to upload your documents to GovDash.

Please Note

Your SharePoint documents are synced with GovDash, so any changes you make to them in SharePoint will sync to GovDash. These are not uploaded as-is as a separate document in GovDash.

Exporting Proposals to SharePoint

To export your generated proposals from GovDash to SharePoint, click the three-dot menu button under the Actions column in the proposal Versions tab, and select Export to SharePoint.

Enter your desired file name for the proposal, and click Select Directory. Select your SharePoint tenant and account, navigate to the SharePoint site and folder you want to save your proposal to, and click Export Here to export the document to SharePoint.


Disconnected Documents

In the event that a file on your SharePoint gets deleted or moved from its original location, you will need to relink the files within GovDash in order for the documents to sync with SharePoint again after they've either been restored in SharePoint, or GovDash is pointed to the file's new location.

You can access the list of files that GovDash will need to be relinked to within the Data Library. If you have any documents that need to be relinked, a button will appear in the top right labeled View Disconnected SharePoint Documents with a file count showing the number of documents that are not connected.

Relinking Documents

Once within the Disconnected SharePoint Documents page, all disconnected files will appear in the list with their file name, the document location, the dates they were originally uploaded and subsequently deleted, and an associated Relink button.

Clicking the Relink button will open the SharePoint integration interface and allow you to navigate through the sites and folders of your SharePoint to relocate the file. After relocating the file, click the  button next to the file, click Confirm, and finally Relink Document to reestablish the link.

Please Note

Your SharePoint documents will still be usable by GovDash if they're no longer linked, but any changes within the document on SharePoint will no longer be able to sync from SharePoint to GovDash if your document link is not restored.
