Before you begin
You must have global administrator level permissions within your Microsoft 365 tenant in order to set up the SharePoint integration. If you do not have adequate permissions, please add your Microsoft 365 tenant global administrator to your GovDash team and have them complete the setup.
Setup
Connecting to SharePoint
You first must connect your SharePoint/Microsoft tenant to GovDash in order to begin using the integration.
Open Settings in GovDash.
Under Integrations, click Connect SharePoint.
Click Add Tenant, and login to your Microsoft 365 tenant.
GCC and GCC-High Tenants
If you're connecting to a GCC-High Tenant, click Add New GCC-High Tenant.
For GCC tenants, select the Add New Tenant option.
GovDash will request permission to access your tenant and provide you with the permissions that it requires for the integration to function. Click Accept to agree to grant the permissions.
This will complete the integration process, and the SharePoint integration button will change to Connected.
SharePoint Integration Permissions
GovDash will request specific permissions in order to access and sync selected files on your SharePoint. To learn more about what GovDash needs these specific permissions for, please see the table below.
Requested Permission
Type
How GovDash Utilizes Permission
Files.ReadWrite.All
Delegated
Work with the files your users can access in OneDrive/SharePoint on their behalf.
Sites.Read.All
Delegated
List the SharePoint sites and libraries your users can access to navigate to files they'd like to upload.
User.Read
Delegated
Sign your users in and read their basic profile (name, email, tenant) to display the user’s displayName and email for their linked account within the integration.
offline_access
Delegated
Keep your users signed in so the integration can stay connected without frequent re‑authentication; does not grant new data access.
Files.ReadWrite.All
Application
Background service can read/write files in the SharePoint sites your users connect, for example to fetch documents for processing on our backend, and export things like generated proposals.
Sites.ReadWrite.All
Application
Background service can set up change notifications to detect when files are modified in connected SharePoint sites for automatic syncing.
Sites.FullControl.All
Application
Set up change notifications to detect when files are modified in connected SharePoint sites for automatic syncing.
Organization.Read.All
Application
Read your tenant's basic directory info (name, domains) to label your workspace and apply tenant‑specific settings.
Signing In With Your Microsoft Account
Once you’ve got your tenant connected, you must link your individual Microsoft account to GovDash to begin uploading your files. This process can be completed anywhere within GovDash that you can upload from SharePoint, but below is an example using the Data Library.
Within the Data Library, click Upload Files.
Select the SharePoint tab within the upload window.
Select your tenant from the list, then select Add New Account.
Sign in using your Microsoft account, and if sign in is successful, you should see a success alert within GovDash letting you know the account was linked.
Using SharePoint with GovDash
By using SharePoint in GovDash, you can upload files directly from your SharePoint folders and libraries in several areas that GovDash allows you to upload files, as well as export your GovDash generated proposals into SharePoint.
Important - SharePoint Site Permission Requirements
In order for you to be able to access a SharePoint site within the integration, you must be a Member of the SharePoint site you’re trying to access. Without the Member permission, the site will not appear within the list of SharePoint sites in GovDash.
Adding SharePoint Files to GovDash
To add your SharePoint files to GovDash in these areas, click the SharePoint tab within the upload window to access the SharePoint tenant list, select your tenant, select your Microsoft 365 account, and you will then be brought to your SharePoint site list.
Select the site where your desired files are located, navigate to the folder where the file is located, and click the checkbox next to the file to add it to the upload queue. If the field you're uploading files to supports multiple file uploads, you can attach as many files as you'd like using the checkboxes.
You can also bulk select all files within a folder by using the checkbox in the top header. You may select up to 100 files per upload.
Once you've finished selecting your files, click the Continue button, and then the Confirm button on the review page to upload your documents to GovDash. You may also mark any documents sensitive from this page using the bulk or individual file setting under the Not Set drop down.
Please Note
Your SharePoint documents are synced with GovDash, so any changes you make to them in SharePoint will sync to GovDash. These are not uploaded as-is as a separate document in GovDash.
Exporting Proposals to SharePoint
To export your generated proposals from GovDash to SharePoint, click the three-dot menu button under the Actions column in the proposal Versions tab, and select Export to SharePoint.
Enter your desired file name for the proposal, and click Select Directory. Select your SharePoint tenant and account, navigate to the SharePoint site and folder you want to save your proposal to, and click Export Here to export the document to SharePoint.
Disconnected Documents
In the event that a synced file on your SharePoint gets deleted or moved from the site it is located on, you will need to relink the files within GovDash in order for the documents to sync with SharePoint again.
You can access the list of files that GovDash will need to be relinked to within the Data Library. If you have any documents that need to be relinked, a button will appear in the top right labeled View Disconnected SharePoint Documents with a file count showing the number of documents that are not connected.
Relinking Documents
Once within the Disconnected SharePoint Documents page, all disconnected files will appear in the list with their file name, the document location, the dates they were originally uploaded and subsequently deleted, and an associated Relink button.
Clicking the Relink button will open the SharePoint integration interface and allow you to navigate through the sites and folders of your SharePoint to relocate the file. After relocating the file, click the button next to the file, click Confirm, and finally Relink Document to reestablish the link.
Please Note
Your SharePoint documents will still be usable by GovDash if they're no longer linked (as the document has already been processed by GovDash), but any changes within the document on SharePoint will no longer be able to sync from SharePoint to GovDash if your document link is not restored.
Disconnecting your Microsoft Tenant and Account
To disconnect your Microsoft tenant or account, click Delete next to either the tenant in the tenant selection window, or your account in the account selection window.
