Data Upload Recommendations
Discuss data requirements and tips, tricks, and best practices
We will discuss what data we recommend uploading to the platform, and help your team successfully plan around it. We will cover this in more detail during our Foundations and Contract Cloud Meeting.
Data Tips, Tricks, and Best Practices
Do not bulk upload data, we recommend uploading piece by piece to ensure each piece of data is thoughtfully uploaded with a purpose behind it.
Organize your data using our tagging system.
If you are using SharePoint, we recommend adding an “_GovDash” or similar to the end of your files in your SharePoint site to ensure you know which documents are connected. This will ensure your team is able to update documents on your side of the house through the live SharePoint connection and have those updates get live reflected in GovDash.
Use our Help Center articles on recommendations on what data we recommend uploading and where
Understand who owns your contract data, specifically focusing on the Contract/Award Document and PWS/SOW for each Past Performance.
If you choose to upload Past Performance where either you were a subcontractor, or you had a subcontractor, we recommend scrubbing your data to only contain information on work that you can confidently cite as your own. This is to ensure that data down the line that is being used in proposals is completely your own work.
We do have the option to select a prime/sub relationship where we can give the system the additional context of what work was given to your partner organization. This will ensure the system can utilize this data in the correct way in future proposal submissions.
When uploading previous proposal submissions, we recommend scrubbing the data as much as possible to remove mention of other companies and the work they performed in partnership with you on the contract.

Preparation Recommendations
Please be prepared for one of your teammates to share their screen and upload the data live during the session.
Please have an understanding of where you store your data prior to our session, and invite any teammates who own these pieces of data.
If you are utilizing the SharePoint connection, please have this connected prior to this session. The user who is driving this session will need to be a member of the SharePoint site that contains the documents you wish to upload.
Please have 2 contract examples ready to upload live together. Please ensure you have the Award Document and PWS/SOW for each contract, as these are mandatory to create a compliant Past Performance or Contract Record in the system.
Have 1 Key Personnel Resume example ready.
Have 1 Previous Proposal example ready, 1 piece of boilerplate content, or 1 capability statement ready.
What to expect in Session 2: Foundations and Contract Cloud (90 Minutes)
During our next session together, we will be uploading the data outlined above live to the platform together. We will not be able to hold this session together without having the data above prepared, so please come ready to have one of your team mates share their screen and walk through this live together! This will not only satisfy the onboarding flow for the platform, but also allow your team to see live how to upload data and where to upload it, as well as showcase to your team live how the data starts to make connections throughout the platform.
You can also expect to walk through the Data Library and the Contract Inventory in detail, including showing you how GovDash identifies people you have worked with, companies you have worked with, as well as agencies and customers you have worked with as well.
We will also walk you through the Contract Inventory in detail and outline how you can leverage Dash and Capability Matrices effectively by getting healthy data in the system from the start. In addition, we will cover any outstanding questions from the team, as well as ensure you have your test proposal, the word assistant downloaded, and remind your team about the templates if we do not have that already.
